What is MeetingsIn?
MeetingsIn is a global website designed to help occasional
planners and those who plan meetings for 10 to 200 people, with an easy RFP
tool (accessing thousands of unique venues and hotels) and useful destination
information and planning resources that will help secure meeting space and plan
a meeting.
Who uses MeetingsIn?
Whether you are a professional planner, secretary, personal
assistant, office manager or just organizing a small get together, everyone is
welcome to use MeetingsIn. Our tools and
information are professional and comprehensive yet are easy enough to use for
someone new to the meetings industry.
How do I use
MeetingsIn?
You can use MeetingsIn to: 1) Search and compare venues, 2)
Send request for quote to venues, 3) Gather destination information and 4) Find
meeting planning guides, resources & tools.
To search venues, start by selecting the city on MeetingsIn or any destination site, you wish to hold your meeting and then click "Get Venues". Browse through search
results and begin building your My List by selecting up to seven venues you
wish to request a bid from. Some venues
will have detailed information accessible from the search results page. These venues have a "Details" button beside
their picture that you may click and view additional pictures and information
about the venue.
Once you're ready to submit your requests, click "Next Step" and you'll be prompted to confirm your details on the next page. Here you may either remove a venue and send desired venues a request to bid called an RFP - Request for Proposal. You will receive an automated response indicating your RFP has been delivered and then an e-mail indicating the venue is reviewing your bid. The venues you've selected should respond back to you within 48 hours. Please let MeetingsIn know if for some reason you do not receive notification within this timeframe. You may do this through the "Contact Me" button on the site.
Once you've sent your bid requests, explore the other useful information on MeetingsIn such as any one of the many destination/city guide sites or Planner Tools section for useful information, check-lists and guides for planning a successful meeting.
Will somebody help me
plan my meeting?
If you need help planning the details of your meeting,
including anything from coffee breaks to travel arrangements, you can leverage
the experience and knowledge of our local
experts. Simply click "Contact Local Expert" next to the Search button at
the top of any page and you can fill in a form to request help from someone who
knows all about the destination and planning a meeting.
What if I need help
selecting a venue?
It's not always easy finding a venue that meets your budget,
attendee's needs and is located in the right place. Our local experts can also
help you with choosing the right place to hold your meeting. Again, we can put
you in touch with an expert planner by clicking "Contact Local Expert" next to
the Search button and filling out the form.
How do I learn more
about the city where my meeting will be held?
We provide great destination information including anything
from local etiquette to the best ways to get around the city all in our City
Guides. City Guides can be found
from their own tab in our top navigation. These guides will provide you with
information that's meant to help you plan your stay before you arrive.
What size meetings go
through MeetingsIn?
Typical meetings
facilitated through MeetingsIn range in size from 10 to 200 participants, but
larger meetings are welcome.
Are there any
specials or promotions provided by MeetingsIn or the venues listed?
Yes there are! Venues
select our featured positions and banner ads to promote their specials. Coming this summer, venues will have the ability
to promote their specials through their venue listing page.
Can I book accommodates/sleeping
rooms through MeetingsIn without booking meeting space?
Yes! If you want to
just book a large number of rooms or have all of your group stay in one place,
please feel free to use MeetingsIn to do so.

Where is MeetingsIn
based?
In the beautiful city of Scottsdale, Arizona - home of
sunshine, desert wildlife and year-round hot temperatures. But in our offices it is a cool 74 degrees F
